HES takes all the hard work out of Oracle contract management for its clients. It reduces the overhead costs for universities and other clients by removing the need for them to reconcile invoices for annual support renewals and top up licensing. HES maintains a very accurate and complete database covering the 10 year+ history of actual price movements and metrics for licensing, support, technology licence bundles and migration pathways for each client.

The Review Process

The annual Oracle Licence Review is conducted every October through December for the 20 organisations in our consortium to coincide with the higher education sector financial year. As part of our service, we are able to provide preliminary estimates of Oracle technology costs to universities each July, during their budget planning phase for the next year.

We look at such things as whether end user licences or CPU licensing present the best options and we also have EFTSL licensing arrangements especially for universities. We consolidate invoicing on HES Oracle sublicenses together with separate licence purchases made by universities. No invoices are issued until HES has an agreed position with Oracle each year.

Each client can be confident by using HES' Review Services that their total Oracle technology holdings and annual technology licensing and associated support costs are 100% correct .

Our Successes

We have had an established base of 20 clients for 14 years who use our Oracle contract management and advisory services throughout the year.

We have been able to return a total of $80K to our universities in early 2008, following recent negotiations with Oracle on support renewals and licensing.

HES' Oracle Review and Contract Management services have saved one client in excess of $90K in one year and another in excess of $900K in additional licensing costs.
